1. Who we are
Employee Happiness Score (EHS) is operated by BusinessHub. EHS provides a real-time employee emotion measurement system used by organisations to identify internal risk, friction, and performance blockers.

2. Personal data we collect
We collect only the data required to operate EHS, improve the system and communicate responsibly.
EHS feedback data may include emotional or sentiment responses, open feedback comments, time and date of submission, category or theme selection and input method such as QR code or web link. Where configured by the organisation, employee feedback may be anonymous. EHS is designed to support anonymity where required.
Website and landing page data collected via employeehappinessscore.com may include form submissions, contact details such as name, email address, job title and company, campaign tracking data, page views, clicks and scroll activity, device and browser information, IP address and approximate location. This data is typically collected through tools such as HubSpot.
Marketing and communications data may include email opens and clicks, resource downloads, responses to forms or surveys, and unsubscribe actions. You can opt out of marketing communications at any time.
Technical data may include browser type, device type, operating system, log files and session identifiers. This data is used for security, analytics, and system performance.
3. How we collect data
We collect personal data through the EHS website and landing pages, online forms and sign-up pages, EHS feedback tools, cookies and analytics technologies, email communications, and direct contact with us.

We use personal data to operate EHS responsibly and to improve its value.
This includes delivering the EHS service by capturing emotional signals, structuring feedback into themes and trends, supporting internal insight and decision-making, and improving the accuracy and usefulness of outputs.
We also use data for communications, such as providing requested resources, sharing Early Access or pilot programme updates, and sending relevant operational insights. You can unsubscribe from marketing emails at any time.
Data may be used to improve the system, including analysing patterns, improving clarity and usability, and identifying common operational challenges across organisations.
We also process data for business operations, including internal reporting, security, fraud prevention, and legal or regulatory compliance.
5. Legal basis for processing
We process personal data under the following legal bases: consent, where you submit a form or opt in to communications; contract, where EHS is delivered as part of a customer agreement; legitimate interests, for analytics, system improvement, and business communications; and legal obligation, where processing is required by law.
6. How we share data
We do not sell personal data. We may share data with trusted service providers only where necessary to deliver EHS. This may include CRM and marketing platforms such as HubSpot, cloud hosting providers, analytics tools, and IT or security partners. All service providers operate under appropriate data processing agreements.
7. International data transfers
Some service providers may store or process data outside the UK or EU. Where this occurs, we rely on appropriate safeguards such as Standard Contractual Clauses and UK Addendum agreements. All international transfers are handled in accordance with GDPR requirements.
8. Data retention
We retain personal data only as long as necessary. Marketing contact data is retained until consent is withdrawn or after 24 months of inactivity. Platform usage data is retained for the duration of the customer relationship plus 12 months. EHS feedback data may be anonymised and retained for long-term insight. Analytics data is typically retained for between 26 and 38 months. You may request deletion of your data at any time.
9. Your rights
Under GDPR, you have the right to access your data, correct inaccurate data, request deletion, restrict processing, object to processing including marketing, withdraw consent, request data portability, and lodge a complaint with the Information Commissioner’s Office.
